Did You Know you can align annual part limits to a single reset date across an entire portal?

Part limits let your clients control how much of a specific part users can order within a time frame—helping protect budgets and inventory while keeping their storefront experience simple. Now there’s a new option that makes annual controls even easier to manage: Annual on Portal Date.

When you choose Annual on Portal Date for a part limit, the limit will reset once per year on the portal’s “Annual Part Limit Portal Date. “ That means every part configured with this option shares the exact same annual reset date—perfect for matching a client’s fiscal year, program cycle, or budget season. This complements Propago’s broader business-rule controls (spending limits, order limits, approvals, user rights) that keep brand, budget, and inventory in check.

How it Works

  1. Set the portal’s annual reset date
    In the back end, open the customer’s portal and set Annual Part Limit Portal Date (the single date all annual part limits will reference).
  2. Choose the new time frame on the part
    On the part’s limit setup, select Annual on Portal Date as the time frame.
  3. Target who it applies to
    Assign the part limit to specific users and/or user groups as usual. (Orders that would exceed the limit can still be blocked or routed for approval, based on your existing configuration.

Example

Your client wants a 500-unit yearly cap on several branded promo items—totes, pens, and lanyards—resetting every July 1 to match their fiscal year.

  • In the portal, set Annual Part Limit Portal Date = July 1.
  • On each part, add a limit of 500 with the Annual on Portal Date interval.
  • Result: All three products share the same July 1 reset, and buyers see consistent behavior across the catalog.

  • Portal level: set Annual Part Limit Portal Date (admin – portal settings).
  • Part level: on each part’s Limits area, choose Annual on Portal Date, set the quantity, and assign to users/user groups.
