Did You Know you can enable/disable the “Upload Files to Order” option by User Group?

Many clients rely on the Allow Upload Files to Order setting to let users attach files (e.g., POs, specs, additional information) to orders so production has everything they need. A new update adds a user-group–level version of that control—so you can enable file uploads during checkout for some users while hiding it for others.

  • New toggle at the User Group level: Allow Upload Files to Order
  • User groups will inherit the portal-level setting by default unless the user group-level setting is set and saved.
  • Example use case: Keep uploads on for groups that submit POs with attachments, but off for a “credit-card-only” group so the Additional Files option won’t appear in their checkout.

Benefits to the Client

  • Show a cleaner checkout to groups that don’t need uploads (e.g., card-only buyers).
  • Keep uploads available for groups that regularly attach POs, specs, or artwork.
  • Enforce additional files at the user group level without cloning portals or maintaining separate sites.

How it works

  1. Set the portal/company default (if needed)
    • Back end: Portals → Select Customer → Settings
    • Locate Allow Upload Files to Order in the Order Settings and set your preferred default.
  2. Override for a specific User Group
    • Back end: Portals → Select Customer → User Groups → Select Group → Settings
    • Find Allow Upload Files to Order in the group’s Order Settings controls.
  3. What end users will see
    • If allowed, the Additional Files control appears during checkout so users can attach images, PDFs, Word/Excel docs, etc. Those files are visible on Order Details after submission.
    • If disabled, the upload control is hidden for members of that group.

Tips & related features

  • Where files show up: When uploads are enabled, attached files are available to the production team and visible on Order Details for appropriate users—consistent with our previous “Additional Files” guidance.
  • Data retention: If you use Data Redaction with Redact Files, previously attached order files will be redacted on the schedule you configure, limiting long-term access.
  • File types: Common file types like images, PDFs, Word, and Excel are supported for order attachments.
